Reference Managers

Using EndNote online

Add sources from databases:

  • Search articles in the databases. 
  • Select a source and click the "Export" button. This is listed on the right-hand side of the webpage.
  • Select "Direct Export to EndNote Web."
  • Do not select the default option, which is "Direct Export in RIS Format (e.g. CITAVI, EasyBib, EndNote, ProCite, Reference Manager, Zotero)." This option works with the paid version of EndNote, but will not function with EndNote online. 
  • Once saved, a new tab will open to indicate that the reference has been added to your library.
  • Access sources under the "My References" tab of EndNote online. 
  • Note: If you can not find it, check under "[Unfiled]."

Add multiple sources from databases:

  • To begin, search for articles in the databases. 
  • Next, click the blue folder on the sources that you wish to add. The folder will turn yellow.
  • Next, select "Folder View" on the right side of your screen. 
  • Choose which sources you want to export and select "Export."
  • These will appear in EndNote online.


Add from Google Scholar:

  • Before you can add articles from Google Scholar, the EndNote plugin must be installed.
    • For assistance with this, visit the "Set Up" tab of this guide.
  • Once installed, begin by clicking the line icon  followed by "settings." 
  • Set the "show links to import citation into" option to "RefMan." 
  • Add articles by clicking "Import into RefMan," which can be found on the bottom of your source.
  • Once a file has downloaded, select it and login to EndNote online, as prompted. 
  • The source will appear in your EndNote online reference library. Hooray!

Add webpages:

  • See the "Capture Reference Tool" box under the "Set Up" tab of this research guide. 


Add a source manually: 

  • Unique items, like emails, maps, and other sources are often cited manually.
  • To add manually go to the "Collect" tab.
  • Click "New Reference." 

Attach a file:

  • Select the paper clip icon to attach a PDF to an existing reference. The paperclip icon will appear blue once a document is attached. 
  • See the "Add a PDF with EndNote Click" tab to add PDFs when a reference is not already in EndNote online. 

What is EndNote Click?

Using EndNote Click:

  • Once you have downloaded EndNote Click, use the browser extension to upload PDFs.
  • If the browser extension EndNote Click Icondoes not appear in the right-hand corner of your screen, you can pin it there:

Create a group:

  • Groups are organizational tools which allow you to "group" many sources for one assignment. Groups are shareable. Thus, they are useful for collaborative projects.  
  • Create a group by visiting the "Organize" tab in EndNote online. 
  • Select "Manage My Groups," followed by "New Group."

Add references to a group:

  • Visit your reference library under the "My References" tab.
  • Add sources to a group by checking the boxes on the left hand side. 
  • After checking the boxes, open "Add to group..."Add to group and select a group.

Share with others:

  • To share a group, go to "Organize" ► "Manage My Groups" ►" Manage Sharing."
  • Select, "Start sharing this group link."
  • Add emails and "Apply."
    • Note: Although group members can share references, they cannot share attachments. This means that any attachments you that upload will not appear for others. 

Search within EndNote online

Need more sources? Search in EndNote online! EndNote online provides access to articles from PubMed, the National Library of Congress, the National Library of Medicine, and  the Jisc Library Hub. Search by clicking the "Collect" tab and selecting a database. 

  • Note: These databases are not provided through the University of Mary. Thus, many articles will not be accessible for free. Utilize the Welder databases for free and accessible resources.

Always review your references, as no reference software is perfect. If incorrect, ensure that edits, (capitalizing proper nouns, for example), are made in EndNote online. If edits are made in Word, the reference will revert back to an incorrect version because it will be pulling the information from EndNote online. 

Automatic in-text citations in Word: 

  • Visit to the EndNote tab in MS Word.
  • Select the appropriate style.
    • Ex: 
  • Next, click the "Insert Citations" button. 
  • A search bar will pop up. Type in keywords to find your source, click "Find," and "Insert."  

Multiple sources in one in-text citation: 

  • In some circumstances, multiple authors are cited in the same in-text citation.
    • Ex: God created us for greatness of soul (Johnson et al., 2020; Yang, 1409; Petty & Smith,1912). 
  • Go to "Insert Citations" ► "Find" ► hold down the "Ctrl" key to select multiple sources at once ► "Insert."  
  • Alternatively, click an in-text citation and select "Insert Citations" to add sources one at a time. 

Add a bibliography in Word:

  • EndNote online will add a bibliography that is made up of sources from your in-text citations.
  • As you add more in-text citations to your paper, EndNote online will automatically add them to your bibliography. 
  • For an error-free paper, review the references for mistakes.

Create a bibliography from EndNote online

  • In EndNote online, go to the "Format" tab.
  • Select "Bibliography." 
  • Select a style and file format (any will work), then "Preview & Print."
  • From here, copy and paste into your selected document. 

Editing reference information:

  • Edit reference information such as author, year, etc. in EndNote online, as opposed to in MS Word. 
  • If edits are made in Word, the reference will revert back to an incorrect version because it will be pulling the information from EndNote online. 
  • Once updated, delete outdated in-text citations and re-insert them. 

Editing continued:

  • Right-click an in-text citation for editing options. 
  • Select "Edit Citation(s)" ► "More..."
    • "To add text to the beginning of a citation (e.g. See also) use the Prefix: box.
    •  To add text to the end of a citation (e.g. to add a note, such as 'emphasis added'), use the Suffix: box.
    •  To add page numbers, use the Pages: box" (University of Canterbury, 2021).
  • There will also be the options to exclude the author and/or year.
    • For example, you would exclude the author (remove from inside the parenthesis) for narrative citations.
